Welcome to Astro Audio Visual. These Terms of Service ("Terms") govern your use of our website at astroaudiovisual.com and our audio visual production services. By accessing our website or engaging our services, you agree to be bound by these Terms.
Acceptance of Terms
By accessing and using this website or by engaging Astro Audio Visual for services, you acknowledge that you have read, understood, and agree to be bound by these Terms of Service. If you do not agree with any part of these Terms, you must discontinue use of our website and services immediately.
These Terms apply to all visitors, users, clients, and any other parties who access or use our website or services.
Services Description
Astro Audio Visual provides professional audio visual production services for corporate events, including but not limited to: sound system design and operation, video production and projection, LED video wall installation, stage lighting design, live streaming and webcasting, staging and scenic design, on-site technical support, and full production management.
Services are provided based on individual project agreements between Astro Audio Visual and the client. The specific scope, deliverables, and terms for each project will be detailed in a written proposal or contract.
Quotes and Pricing
All quotes provided by Astro Audio Visual are estimates based on the information provided by the client at the time of inquiry. Quotes are valid for 30 days from the date of issuance unless otherwise stated in writing.
Final pricing may vary from the initial quote if the scope of work, event requirements, venue specifications, or other relevant factors change after the quote is issued. Any changes to pricing will be communicated to the client in writing and require client approval before proceeding.
Quotes do not include applicable taxes, venue-specific fees, parking, lodging, or travel expenses unless explicitly stated. These additional costs, if applicable, will be itemized separately.
Booking and Cancellation
A booking is confirmed only upon receipt of a signed contract or written agreement and any required deposit payment. Until both conditions are met, event dates are not guaranteed and remain subject to availability.
Cancellation terms are as follows:
- More than 30 days before the event: Full refund of deposit, less a 10% administrative fee.
- 15 to 30 days before the event: 50% of the total project cost is due.
- Less than 15 days before the event: 100% of the total project cost is due.
If Astro Audio Visual must cancel a confirmed booking due to unforeseen circumstances (such as force majeure events), the client will receive a full refund of all payments made.
Payment Terms
Unless otherwise agreed in writing, the following payment schedule applies:
- Deposit: 50% of the total project cost is due upon signing the contract to secure the booking.
- Final payment: The remaining balance is due no later than 7 business days prior to the event date.
- Additional charges: Any additional charges incurred during the event (overtime, additional equipment requests, etc.) will be invoiced separately and are due within 15 business days of the event.
We accept payment via check, bank transfer (ACH), and major credit cards. Late payments may be subject to a fee of 1.5% per month on the outstanding balance.
Equipment and Liability
All equipment provided by Astro Audio Visual remains the property of Astro Audio Visual or its rental partners. The client is responsible for ensuring a safe and suitable environment for the installation and operation of AV equipment at the event venue.
The client shall be liable for any damage to, loss of, or theft of Astro Audio Visual equipment caused by the client, their guests, venue staff, or any third party during the period the equipment is on-site. The client agrees to reimburse Astro Audio Visual for the repair or replacement cost of any damaged or lost equipment.
Astro Audio Visual carries general liability insurance for its operations. Proof of insurance is available upon request.
Limitation of Liability
To the fullest extent permitted by applicable law, Astro Audio Visual shall not be liable for any indirect, incidental, special, consequential, or punitive damages arising out of or related to our services, including but not limited to loss of revenue, loss of business, or loss of data.
Our total aggregate liability for any claim arising out of or related to our services shall not exceed the total amount paid by the client for the specific event or project giving rise to the claim.
Astro Audio Visual shall not be held liable for delays or failure to perform obligations caused by events beyond our reasonable control, including but not limited to: natural disasters, severe weather, pandemics, acts of government, power outages, internet or telecommunications failures, venue-related issues, or other force majeure events.
Intellectual Property
All content on this website — including text, graphics, logos, images, videos, and software — is the property of Astro Audio Visual or its content suppliers and is protected by United States and international copyright laws.
Astro Audio Visual may photograph or record events for portfolio and marketing purposes unless the client explicitly opts out in writing prior to the event. The client retains all rights to their own event content. Any portfolio use by Astro Audio Visual will be done tastefully and professionally.
Website Use
You agree to use this website only for lawful purposes and in a manner that does not infringe upon or restrict the rights of others. You may not:
- Use the website in any way that could damage, disable, or impair its functionality
- Attempt to gain unauthorized access to any part of the website or its servers
- Use automated tools to scrape, crawl, or extract data from the website
- Transmit any malicious code, viruses, or harmful content
- Submit false or misleading information through our contact forms
This website is provided on an "as is" and "as available" basis. We make no warranties, express or implied, regarding the website's availability, accuracy, completeness, or fitness for a particular purpose.
Governing Law
These Terms of Service shall be governed by and construed in accordance with the laws of the State of Texas, without regard to its conflict of law provisions. Any disputes arising from or relating to these Terms or our services shall be resolved in the state or federal courts located in Bexar County, Texas.
Both parties agree to attempt to resolve any disputes through good-faith negotiation before pursuing formal legal action. If a dispute cannot be resolved through negotiation within 30 days, either party may pursue resolution through the courts as specified above.
Changes to Terms
Astro Audio Visual reserves the right to modify or update these Terms of Service at any time. Changes will be effective immediately upon posting to this page, and the "Last updated" date will be revised accordingly.
Your continued use of our website or services after any changes to these Terms constitutes your acceptance of the revised Terms. We encourage you to review this page periodically to stay informed of any updates.
